Executive Director Article – September 2024

Shannon Werner – Executive Director, Secretary and Treasurer

Summer Convention was enjoyable, and it was good to see everyone who attended. I appreciate those of you who have been patient, kind and supportive. This position has many responsibilities, and more than one person can complete them in 60+ hours, 6-7 days per week. If I take a day off, I still monitor emails and phone calls for any matter that may be urgent in nature.

I am still completing follow-up items from the convention at the time of this writing. I have corrected all the certificates with the wrong information, the certificates requested during the convention, and the certificates for projects judged at the convention. I have generated the checks (where applicable) related to the awards and contests, which have been distributed to the individual, unit, or district. Any unit that did not pick up their membership packet at the convention should have received it by now. They were mailed to the person in ALA MIS as your “remit to” representative.

The Girls State Committee met here at the department last Thursday. You may think, what does our Executive Director have to do with the girl’s state program? Good question. I gathered all the applications, checks, registration fees, etc. and provided all to the GS Chairperson. I review all contracts, including MSU and the insurance policies necessary for this program. I generate all staff, volunteers, busing, and fee checks and then distribute them to the appropriate party.

The Finance Committee held their gathering the next day, on Friday. Again, my focus shifted, and I completed the necessary action items. I worked late three out of the five days last week to accomplish everything needed.

At the same time, I read, questioned, and learned about National’s system for the National Convention. There was quite a bit of information needed. This year, a multitude of information related to our delegates attending had to be gathered, a new requirement that National has instituted. I required each representative’s address, cell phone number, member ID number, email, and emergency contact. That information is then entered into National’s special timed program, which must be completed expeditiously and accurately.

I hope this gives you a bit of insight into the daily activities here at the Department. I heard some of our members were interested in my tasks and how long it took me to complete them. This does not include the emails and phone calls that I receive daily. When you need information or have questions, please remember to discuss them within your unit first, then the district, and the very last call should be the department.
